Start with the property and the person arranging the work

Provide the full address, including a unit number where relevant. Explain whether you are arranging the visit as the tenant, owner or property manager. Identify the person who can approve the work, the contact for access and the correct recipient for the invoice.

If those are different people, make that clear at the start. A request for a quote and approval to proceed are separate steps. Confirm who will accept the final scope and price before expecting a visit to be booked.

Identify every area you want included

Descriptions such as front and back can be unclear on a shared driveway or a multi-unit property. A simple annotated photo can show which lawn belongs in the request. Include narrow side strips or separate areas that cannot be seen from the road.

• List the lawn sections to be mown and the edges to be trimmed.

• Identify any shared areas and confirm who is arranging work on them.

• Mention long growth, hidden obstacles or patches that stay soft.

• State whether this is routine maintenance or a first visit after a gap.
